Zoho for HR & Operations Teams

H4Z designs and implements the Zoho HR and operations stack - Zoho People for HR management, Recruit for hiring, Workerly for temp staffing, Projects for delivery and Sprints for agile teams - as one connected architecture. A developer is assigned to standard projects within 24 hours and emergency support reaches you within 30 minutes during UK business hours.

HR and operations are where disconnected software hurts most. A candidate accepted in the recruitment tool gets retyped into the HR system. Approved leave never reaches the project plan. Hours are logged in one place and billed from another. Every gap costs admin time and some of them - wrong leave accruals, missed billable hours - cost real money and staff trust.

Zoho covers this entire business area with five applications: Zoho People for HR, Zoho Recruit for hiring, Zoho Workerly for temporary staffing, Zoho Projects for delivery and Zoho Sprints for agile work. Each app is capable on its own. The value is in the joins, which is why H4Z designs the architecture first: where the employee record lives, how a candidate becomes an employee, how absence affects resourcing and how recorded time turns into invoices. We configure this stack so the five apps work as one.

How the HR & operations stack fits together

The data flows in one direction and getting that right removes almost all of the retyping. Zoho Recruit holds your vacancies and candidates. When an offer is accepted, the candidate record converts into an employee in Zoho People, which becomes the single system of record: contracts, leave balances, attendance, appraisals. Approved leave and working patterns in People then feed availability, so Zoho Projects plans work around who’s actually in. Time logged against project tasks flows onward to billing.

For temporary placements, Zoho Workerly runs the parallel loop - client, temp, timesheet, invoice - without touching your permanent-staff records. Zoho Sprints sits beside Projects for teams that work in iterations. Over the top, Zoho Analytics joins the lot, so headcount, utilisation and time-to-hire all land on one dashboard.

Zoho People: the core of your Zoho HR software

Zoho People is the employee system of record: personnel files, leave and attendance, shift rosters, onboarding, performance appraisals, HR case management and employee self-service. It suits any organisation that’s outgrown spreadsheets and shared calendars for managing people and certainly anywhere juggling multiple leave policies, locations or working patterns.

Most of a Zoho People setup is policy work. Leave types, accrual rules, carry-over limits and approval chains have to match your employment contracts exactly, because employees notice a wrong balance immediately. H4Z configures the full leave and attendance model, builds onboarding flows that create accounts and assign first-week tasks automatically and connects People to your payroll provider so changes to salary, hours or bank details flow through without rekeying.

Zoho Recruit: hiring as a pipeline

Zoho Recruit is the applicant tracking system. It comes in two editions: one for internal HR teams hiring for their own organisation, one for staffing agencies managing multiple clients. It handles job openings, a careers page, CV parsing, candidate pipelines, interview scheduling and offer management.

H4Z builds the pipeline automation: CVs parsed into structured candidate records, stage-based emails so applicants are never left in silence and a careers page embedded in your own website. We also configure the Recruit-to-People handover, so an accepted offer creates the employee record and starts onboarding without anyone retyping a thing. For high-volume hiring we add AI integration - candidate summarisation and screening assistance that cuts the first sift from hours to minutes.

Who is Zoho Workerly for?

Zoho Workerly is the temp staffing platform. It’s narrower in purpose than the other apps here, but if you place temporary or contract workers it’s essential. It manages the temp database, client jobs, scheduling, timesheets and the invoicing that follows. Staffing agencies typically run Recruit for the permanent desk and Workerly for the temp desk side by side, sharing candidates between the two.

H4Z configures the full timesheet cycle - temps submit hours, clients approve them online and approved time generates the invoice - and integrates Workerly with Zoho Books so the invoice goes out the day the timesheet is signed off.

Zoho Projects: delivery, timesheets and billing

Zoho Projects handles structured work: milestones, task lists, Gantt charts, dependencies, budgets and timesheets. It suits client delivery teams, internal operations and any work with a defined start, end and owner.

A typical Zoho Projects implementation starts with templates. The project types you run repeatedly get modelled once, so every new project arrives with its task lists, owners and durations pre-built. We then connect Projects to the rest of your Zoho environment: a deal closed in CRM opens the onboarding project automatically and hours logged on tasks flow to Zoho Books for billing, so no billable time leaks between systems. If your team currently works in Monday.com, we move boards, tasks and history across as part of a Monday.com to Zoho Projects migration.

Where does Zoho Sprints fit alongside Projects?

Zoho Sprints is for teams that work iteratively rather than to a fixed plan: product development, software teams, marketing squads running two-week cycles. It provides backlogs, scrum boards, epics, sprint planning, burndown charts and retrospectives.

The common question is whether you need Sprints, Projects or both. Our rule of thumb is simple. Fixed-scope work with deadlines and dependencies belongs in Projects. Continuous, regularly re-prioritised work belongs in Sprints. Plenty of organisations run both. H4Z helps teams draw that line, sets up the boards and reporting and keeps the two synchronised so leadership sees delivery status in one place.

Where teams go wrong

Most of the rescue work we do in this area traces back to the same handful of decisions:

  • Apps configured as silos. Candidate data retyped from Recruit into People, then again into payroll - with errors creeping in at every step.
  • Leave policies left on defaults. Accruals that don’t match employment contracts produce wrong balances and staff go back to tracking holiday in spreadsheets.
  • Every kind of work forced into one tool. Agile work squeezed into Gantt charts, or deadline-driven projects scattered across scrum boards, until neither team trusts the plan.
  • Timesheets that go nowhere. Hours are recorded in Projects or Workerly but invoices are raised from memory, so billable time leaks every single month.
  • No reporting layer. Utilisation, time-to-hire and headcount questions are answered by exporting five CSVs and reconciling them by hand.

All five are architecture problems and they’re far cheaper to fix at design time than after go-live.

Start with the architecture, not the apps

If you’re mapping HR and operations onto Zoho - or untangling a setup that grew app by app - the right first step is a conversation. H4Z offers a free discovery consultation: we map your current tools and processes, recommend which of these five apps you need and propose the order to roll them out. Book it through our contact page.

Because every application on this page is included in the Zoho One bundle, most organisations license this stack through Zoho One - see our Zoho One implementation service for how a full rollout works. Prices are listed on our pricing page and a developer is assigned to standard projects within 24 hours.

Frequently asked questions

Is Zoho good for HR?

Yes. Zoho People handles the core of HR - employee records, leave and attendance, onboarding, appraisals and employee self-service - and connects to Zoho Recruit for hiring and Zoho Projects for resourcing. For small and mid-sized organisations it replaces standalone HR software at a fraction of the licence cost, especially inside the Zoho One bundle.

What does a Zoho People setup involve?

A typical Zoho People setup covers your organisation structure, leave types and accrual policies matched to employment contracts, approval workflows, attendance or shift schedules where needed, onboarding checklists and employee self-service. H4Z configures all of this for you, with a developer assigned to your project within 24 hours.

How long does a Zoho Projects implementation take?

Most Zoho Projects implementations take two to six weeks depending on how many project templates, automations and integrations you need. A simple rollout with templates and timesheets can be live within a fortnight; connecting Projects to CRM and Books, or migrating from a tool such as Monday.com, takes longer. We scope it precisely in a free discovery call.

Can Zoho Recruit pass new hires into Zoho People?

Yes. Zoho Recruit and Zoho People integrate directly: when a candidate accepts an offer, their record converts into an employee in Zoho People and onboarding starts automatically - documents, equipment requests and first-week tasks included. H4Z configures this handover so nobody retypes candidate data and every new starter gets a consistent first day.

Do I need Zoho One to run HR and operations on Zoho?

No - every app in this stack is available standalone. But if you're running three or more of them, Zoho One is usually better value and adds the cross-app automation that makes the architecture work. We assess which licensing route fits during a free discovery consultation and all our prices are published on the site.
