Is Zoho AI safe for UK businesses?
There are two routes to AI in Zoho and they have different risk profiles.
Zia stays home. Zoho's own AI runs on Zoho's infrastructure, in the data centre where your organisation already lives. Nothing leaves. For UK and EU businesses with strict data policies, this is usually the starting point.
External models see what you send. ChatGPT and Claude integrations transmit the text you choose to share. We keep that minimal: masked fields, no customer identifiers where they are not needed and API agreements under which the provider does not train on your data. You choose the boundary; we enforce it in the build.
Every agent we ship respects your existing Zoho roles and field-level permissions, so AI never sees more than the person asking it could see themselves. That design rule deals with most of the GDPR questions that come up.
What's new in Zoho AI
- Zia Agents. The bundled monthly tokens cover most small-business workloads at no extra cost. Pre-built agents cover common CRM and Desk jobs; custom agents go further.
- Agent Studio. Build and configure agents across the suite without per-agent licensing.

Is my data safe if we add AI to Zoho?
It depends which route you choose, which is why we explain both. Zia runs on Zoho infrastructure, so data stays inside your Zoho data centre. External models like ChatGPT or Claude only see what you send them; we minimise that, mask sensitive fields and use API terms under which providers do not train on your data.
What does AI in Zoho actually cost to run?
Less than most people expect. Zoho bundles free monthly tokens with its agent platform and for most small businesses that allowance is enough, so the main cost is building the agent well. External models bill per token; we set hard monthly caps so spend can’t run away.
Will an AI agent embarrass us in front of customers?
Not if it’s scoped properly. We build agents with explicit boundaries: what they may read, what they may write and what always needs human approval. Customer-facing replies start in draft mode and only go fully automatic once they’ve been right often enough to earn it. The failure stories you hear usually skipped that step.
Zia or ChatGPT - which should we use?
Usually both, for different jobs. Zia is built in, keeps data on Zoho servers and is strong at scoring, prediction and anomaly detection. External models are better at language: drafting, summarising and extraction. The audit tells you which fits each use case before anything is built.

What is Zoho MCP and do we need it?
MCP (Model Context Protocol) lets assistants like Claude and ChatGPT talk to your Zoho data in a controlled way: ask questions in plain English, get answers from live CRM records. You need it if you want assistant-style access rather than fixed automations. Setup is a fixed-price job.
